Company Overview:
A leading real estate investment management firm with approximately $18.3 billion in assets under management is seeking an Executive Assistant/Office Coordinator. The role involves managing office services and providing administrative support within a dynamic and collaborative environment.

Job Responsibilities:

  • Coordinate with internal stakeholders and vendors to resolve issues and fulfill requests
  • Manage software, including Asana and Luma
  • Provide daily support to the Director of Operations, including calendar and travel management, expense reporting, and meeting preparation
  • Support Human Resources roles such as interviewing, hiring, onboarding, and offboarding
  • Assist in internal communications and drafting announcements
  • Manage mailroom and shipping logistics
  • Reconcile petty cash and maintain emergency procedures
  • Maintain swag/gifting inventory and vendor relationships
  • Review and approve vendor invoices
  • Assist in planning and executing firm-wide meetings and events
  • Negotiate and review contracts with vendors
  • Maintain and improve SOP manual for Office Services team
  • Support team operations and provide backfill for facility coordinator
  • Serve as a secondary point of contact for office-wide requests

Qualifications:

  • Experience in administrative support and office management
  • Proficiency in software tools such as Asana and Microsoft Office
  • Strong organizational and multitasking skills
  • Ability to coordinate with various stakeholders and manage vendor relationships
  • Experience in event planning and execution

Compensation:
Salary: $85,000 – $110,000, Plus Bonus
