Company Overview:
An exciting, growing company is seeking an Administrative Coordinator. This role will support the fleet maintenance operations by managing vendor communications, documentation, and process efficiencies.

Job Responsibilities:

  • Serve as the primary point of contact for outsourced vendors and service providers.
  • Intake quotes, review work orders, and negotiate pricing or service details.
  • Review all incoming work orders for accuracy, completeness, and compliance with company standards.
  • Ensure proper documentation of repairs, inspections, and preventative maintenance services.
  • Accurately enter and update maintenance data across internal systems and spreadsheets.
  • Create and process pay orders, issue purchase orders, and route for higher-level approval when necessary.
  • Use Excel and internal databases to track vehicle maintenance schedules, status updates, and cost summaries.
  • Communicate directly with drivers, vendors, and managers to schedule repairs and confirm service completion.
  • Work collaboratively with internal departments to ensure timely completion of maintenance requests.
  • Prioritize and manage multiple work orders simultaneously in a fast-paced environment.

Qualifications:

  • Prior experience in project coordination, fleet maintenance support, or administrative operations preferred.
  • Proficiency with Microsoft Office Suite, including Excel and Project.
  • Comfortable working across multiple systems and managing large volumes of data and documentation.

Compensation:
Pay Rate: $24 – $26/hr
