Company Overview: An independent multi-family office managing capital for ultra-high-net-worth families and institutions is seeking an Executive Assistant.
Job Responsibilities:
Own complex calendar management for three Executive Team members, including client meetings, internal reviews, board commitments, industry events, and personal appointments.
Resolve scheduling conflicts and coordinate domestic and international travel.
Prepare and reconcile expense reports, business credit card statements, and reimbursements.
Serve as a first point of contact for clients, prospects, and partner firms.
Prepare client meeting materials in coordination with investment and operations teams.
Run day-to-day operations of the local office and partner on special projects.
Qualifications:
5+ years of executive assistant experience in high-touch professional services.
Experience supporting multiple executives or principals simultaneously.
Exceptional written and verbal communication skills.
Ability to be on-site full-time in Park Ridge, IL, Boston, MA, or Salt Lake City, UT.
Prior exposure to wealth management or financial services preferred.
Experience with Asana or a comparable project management platform preferred.
Comfort using AI productivity tools for drafting and meeting prep preferred.
Compensation: Salary: $80,000 – $125,000, Plus Bonus
